Xero reporting in Google Sheets, built for reports you run again next month

CrunchSync connects the Xero organisations you authorise to a defined data range in your Google Sheets workbook, then refreshes that range on demand or on a schedule. Setup is guided: we work through the first connection with you and confirm which reports, periods and accounts the workbook needs before the trial starts.

What it is

An authorised connection, a defined range, and a refresh you control

CrunchSync holds an authorised connection to a Xero organisation. You grant the authorisation inside Xero, the way you would for any other connected application, and you can withdraw it there. Each organisation is authorised on its own, so a firm connects a client portfolio one organisation at a time rather than through a single shared login.

Inside your workbook, CrunchSync writes to a defined data range: a block of cells agreed during setup, best kept on its own data tab. Everything else stays out of its path. Your formulas read the range, your presentation tabs read the formulas, and the report your reader opens is still the one your team designed.

That range refreshes when you ask for it, or on a schedule you set. The workbook stays yours. It remains in your Google Drive under your sharing permissions, and CrunchSync does not move it, republish it, or put your reporting behind a separate dashboard that only some of your colleagues can open.

How it works

  1. Request a trial with your work email

  2. We reply, then connect your first Xero organisation with you

    Setup is guided rather than self-serve, and that is deliberate. You authorise the organisation inside Xero; we work through the connection with you instead of leaving you with a wizard and a support article.

  3. Choose the reports, periods and accounts the workbook needs

    We confirm what your reporting pack actually requires, and where each data range should land in the workbook. This is the step that decides whether next month is a refresh or another rebuild.

  4. Refresh on demand, or set the sheet to refresh on a schedule

    The data range updates in place. The formulas, charts, commentary and sharing permissions around it are untouched, because CrunchSync writes only to the range you defined.

A connection is only half the job. The other half is a workbook that can absorb new data without a person repairing it, and that comes from five decisions taken before the first refresh runs.

Define the output
Write down the decisions the report supports, who reads it, and how current it has to be. That answers whether a scheduled refresh is worth setting up at all.
Separate raw data
Keep the refreshed range on its own data tab. Calculations, commentary and charts belong on separate tabs that reference it.
Choose stable identifiers
Map by account codes and IDs rather than names people can edit. A renamed account should not quietly drop out of a total.
Set refresh ownership
Decide who may change the connection, who hears about a failed refresh, and when scheduled refreshes run.
Add control checks
Put the checks below in the visible report rather than in a hidden technical tab, so a problem is seen by the person reviewing the numbers.

What is and is not supported

This page does not publish a list of Xero reports and objects. A list is the thing that goes stale first and gets read as a promise. Instead, the reports, periods and accounts your workbook depends on are confirmed with you before the trial starts, so anything that is not covered comes up in the setup conversation rather than after you have paid for a month.

What you do not have to change

  • You do not rebuild the spreadsheet. CrunchSync writes into the workbook you already use.
  • You do not change anything in Xero. CrunchSync starts with read-only reporting workflows and does not alter your source accounting records.
  • You do not move reporting into another tool. The output is a Google Sheet, opened the way your team already opens it.
  • You do not hand over control of access. Authorisation is granted per organisation in Xero, and withdrawn there.

Who this is not for

  • You do not use Xero. Xero is the accounting source CrunchSync reads. This site does not publish a second one, and you should not assume one exists.
  • You do not use Google Sheets. The output is a Google Sheets workbook. If your reporting lives in Excel or inside a reporting platform, this is the wrong product for it.
  • You need capabilities beyond what this site publishes. Ask us to demonstrate your real workflow during the trial. Do not assume an adjacent capability exists because another product in the category has one.
  • You want to finish setup without speaking to anyone. The first connection is guided. If a purely self-directed signup is what you are shopping for, you will find this slower.
  • You want a business intelligence platform. CrunchSync refreshes reporting data into spreadsheets. It does not model your business, and it does not replace Xero.

Report design

Four controls to build into the report itself

A refreshed number and a correct number are separate claims. Controls should fail where a reviewer will see them, near the front of the pack, rather than in a tab nobody opens during month-end.

Last-refreshed timestamp
A polished report looks current whether or not it is. The timestamp is what stops a reader assuming freshness that nobody checked.
Organisation name
Confirms the pack in front of the reviewer is the entity they asked for. Where several organisations feed one file, show the status of each separately, so one successful refresh cannot mask another failure.
Reporting period
Keeps comparatives and the period named in the commentary in agreement, which is where most quiet reporting errors start.
Reconciliation total
At least one total that ties back to the corresponding report in Xero, so a mapping change appears as a difference to investigate instead of a new baseline nobody questioned.
